  • Manage requests for proposals and make recommendations, site selection, and contract negotiations. 

  • Prepare and maintain budgets. 

  • Assist with hotel contract negotiations and work with housing agencies.

  • Work with registration contractor to create online attendee and exhibitor pages.

  • Prepare exhibit hall/meeting room floor plans. 

  • Develop and write exhibitor manual/exhibitor prospectus. 

  • Coordinate and manage food and beverage arrangements, audio/visual requirements, transportation needs, security orders, signage, staff offices, and special events. 

  • Act as liaison between attendees, exhibitors, vendors, and facility management



  • Review invoices and provide a detailed accounting of final billing. 

  • Develop a post-show survey for event participants. 

  • Summarize post-show survey results and identify areas needing improvement.

  • Oversee setup and tear down logistics, including staff areas and show offices. 

  • Ensure deliverables and timelines are being met by vendors. 

  • Enforce rules and regulations. 

  • Act as liaison between attendees, exhibitors, vendors and facility management.


  • Analyze your event strengths and weaknesses with a detailed report. 

  • Database management. 

  • Marketing support. 

  • Research and analysis. 

  • Floor Management.
